Connect your Wiland account to Avid to send donor and donation data to Wiland's cooperative database once a month, so your Wiland models stay up to date.

On the Wiland Pathways plan? Use Get started with Wiland Pathways instead. This article is for organizations on a standard Avid plan who already work with Wiland.

Use this article when

  • You already work with Wiland and want to connect your Wiland account to Avid.
  • You want to know what donor data Avid sends to Wiland, and how often.
  • An existing Wiland connection shows an error or is not syncing.

Applies to and prerequisites

Plan Any Avid plan that includes Settings → Connections. You do not need the Wiland Pathways plan.
Permission Connections edit permission to add or update the connection. Without it, Add system is disabled with the tooltip You do not have privileges to complete this action. Ask your Avid admin to grant it.
Avid data A constituent data blend (the combined donor and giving data Avid builds from your connected CRM) must already exist. At least one owned audience (an audience built from your own donor data, such as All Donors) to select in the form.
Wiland account A Wiland ID from your Wiland account manager.
Time About 5 minutes once you have your Wiland ID.

What Avid sends to Wiland

  • Direction: Avid to Wiland.
  • Data: Donation transactions (donor ID, gift ID, amount, date, channel, online flag, recurring flag, appeal name, appeal code, payment type, and type) and donor records (name, email, address, city, state or region, postal code, country, mailable status, deceased status, do-not-rent status, and first, last, and largest gift amount, date, and channel).
  • Scope: Only donors and transactions in the owned audience you select in Donor Segment to Include.
  • Frequency: After you save, Avid schedules the first export right away, or the next day if your constituent data blend is not ready yet. The first export sends your full donation history for the selected audience. After that, Avid exports monthly, scheduled for the 10th of each month, and each export sends gifts dated from 7 days before the previous export onward, plus the donors tied to those gifts.

This connection is a data-partner export. It does not appear as a Pathways push destination, and its tile shows only the Insights badge, not a Pathways badge. Connect Wiland to Avid

  1. Go to Settings → Connections.

    You see your list of connected systems.

  2. Click Add system.

    The Add a System modal opens. If Add system is disabled, you need Connections edit permission.

  3. Find Wiland. Use the search box, or click the Other filter pill, then click the Wiland tile.

    The Wiland credentials form opens.

  4. Enter your Wiland ID. This is a numeric ID, up to six digits, from your Wiland account manager.
  5. Select an audience in Donor Segment to Include. This determines which donors and transactions sync to Wiland. Avid preselects your All Donors audience if one exists. Choose a different owned audience if you want a narrower scope.
  6. Check the consent checkbox: "I authorize that donor data provided to Avid may be shared with Wiland as part of our organization's participation in Wiland's Cooperative Database." Save stays disabled until you check it.
  7. If the form shows a mapping Warning, review it before you save. See Troubleshooting below for what each warning means.

  8. Click Save.

    The modal closes. A card named Wiland #{your Wiland ID} appears in your connections list.

Test and verify

Checkpoint What to look for
Right after you save The card shows the status badge Initializing and the text "Waiting first sync."
After the first export The card shows the status badge Active and "Last synced on {date}." You may briefly see Syncing while an export runs.
If something fails The card shows Error or Retrying. The error message appears on the card. See Troubleshooting.

To update your Wiland ID or change the selected audience later, open the card's action menu and click Update Credentials. To remove the connection, click Delete. The confirmation reads: "Deleting the connection will remove the connection, all associated data, and any Pathways that utilize that data."

Troubleshooting

Setup errors

Error message Cause Fix
Constituent data blend not found. Please ensure your constituent data blend is set up before connecting Wiland. Your organization does not have a constituent data blend yet. Connect and blend your CRM first, then return and connect Wiland. See the Constituent Data Blend Glossary.
Wiland ID must be a numeric value with six digits or less. The Wiland ID field has letters, symbols, or more than six digits. Enter the numeric ID your Wiland account manager gave you, six digits or fewer.
This Wiland ID has already been used. That Wiland ID is already linked to a different Avid organization. Each Wiland ID can link to only one Avid organization. Confirm your correct Wiland ID with your Wiland account manager.
This field is required The Wiland ID or Donor Segment to Include field was left blank, or you have no owned audiences yet to select. Fill in both required fields. If Donor Segment to Include shows no options, create an owned audience first.
There was an error saving your information. Please try again shortly Avid could not save the connection. Wait a moment and click Save again. Contact LockStep Support if it keeps happening.

Mapping warnings

The form can show a Warning about your primary constituents data set mapping, with a link to Update column mapping.

If required fields are unmapped, the form lists them: "The following fields are not mapped for your donors: {fields}." Donor and transaction data will not be sent as part of your monthly Wiland update until you map them. Required fields are First Name, Last Name, Email, Address Line 1, City, State/Region, Postal Code, and Country.

If only optional fields are unmapped, the form lists them: "The following Wiland export fields are not mapped: {fields}." Your monthly export still runs, but those columns use default values (Is Mailable defaults to true, Do Not Rent defaults to false) until you map them.

Sync errors

Error message Cause Fix
Wiland export skipped: the following donor fields are not mapped on your primary constituents dataset: {fields}. Data will not be sent as part of your monthly update until these fields are mapped. Required donor fields are unmapped, so a scheduled export was skipped. Map the listed fields on your primary constituents data set. The next scheduled monthly export sends your data once the fields are mapped.

When to contact LockStep Support

Contact LockStep Support if the connection stays in Error or Retrying after you fix mapping and confirm your Wiland ID, or if you see an error not listed above. Include your organization name, your Wiland ID, the exact error text, the name of the audience selected in Donor Segment to Include, and the date of the last successful sync, if any.

Known limitations

  1. Each Wiland ID can be linked to only one Avid organization.
  2. Unmapped required fields block the export entirely until you map them. Unmapped optional fields (Is Mailable, Do Not Rent) send with default values instead of blocking the export.
