Map and update connection data in Avid

Use data mapping to match fields from a customer relationship management (CRM), transaction, email, file, or Secure File Transfer Protocol (SFTP) data source with Avid fields. Create a mapping during setup or update an existing mapping.

Understand source-to-Avid mapping

Each row maps a source under Column Name You're Importing to an Avid Column. The source can be an imported column, a static value, or Custom Logic.

The destination can be a standard Avid column or a Custom Column. Required standard destinations are read-only. A custom destination needs a unique column name and data type.

Create an initial mapping

During initial setup, the mapping wizard shows Information, Filters, and Column Mapping.

  1. In Information, enter the Data Set Name.

    For a file-based source, also select a Data Category and complete the file settings.

  2. Select Save & Next or Next to open Filters.

    Add Inclusion Filters if needed. They are optional.

  3. Select Save & Next or Next to open Column Mapping.

    The page shows required mapping rows for the selected data category.

  4. For each required row, select the matching source under Column Name You're Importing.

    Select + Add Column for optional fields you need for analysis or filters.

  5. Review the mapping, then select Save.

    Avid confirms the data set was created and processing will begin shortly, then returns you to Connections.

Update an existing mapping

  1. Open Settings > Connections.

  2. Select View Connection for the connection you want to update.

    If the connection has multiple data sets, select the correct data-set tab or use Select a Data Set to Edit.

  3. Expand Column Mappings.

    Your existing information and mappings remain available for editing.

  4. Change source selections, add or remove optional rows, or edit Custom Logic.

    Complete every displayed row before saving.

  5. Select Save.

    Avid shows Column mappings saved! Reprocessing will start shortly.

Choose required and optional fields

Required fields appear as default rows. You cannot delete them or change their Avid destination names. The standard data categories can require these fields:

Data category Required Avid fields
Constituents Account ID
Transactions Transaction ID; Account ID; Amount; Date; Is Online; Is Postal; Fiscal Year; Payment Type
Email Contacts Email; Date Created

Your connection and data structure may add other required rows. A required row is marked This column mapping is required and cannot be removed.

Optional fields depend on the selected Data Category. Select + Add Column for fields needed in analysis or filters. You can remove an optional row before saving.

Common optional fields

  • Constituents: Name, Email, Phone, Address, Solicitor, Organization Name, and Is Deceased.
  • Transactions: Fiscal Year, Campaign, Appeal, Fund, Source, Channel, Frequency, and Recognition Credits.
  • Email Contacts: Email Address, Email Template, From Address, Subject, Sent Date, Link Clicks, and Opens.

Use Custom Logic

Select Custom Logic from the source selector when a direct one-to-one mapping is not enough.

  1. Add ordered cases with conditions and an output.

    For example, you can standardize several source values into one Avid category.

  2. Select an output type: Column Value, SQL Value, or Static Value.

    Add a Default Output for values that do not match a case.

  3. Review the source preview after you select a source or create valid Custom Logic.

    Confirm the output matches the result you expect before saving.

SQL Value is an advanced output type. Users using the mapped data see the Avid column and its result, not the SQL expression behind it.

Coordinate with your Avid administrator or LockStep Support when you need the SQL Value. Preview the result before saving.

Validate and save the mapping

  • Select a source for every displayed mapping row.
  • Complete or remove each optional row that you add.
  • Give every custom destination a unique name and select its data type.
  • Complete and validate every Custom Logic block.
  • For matching file sets, confirm that mapped source columns exist in the relevant files.

Avid blocks saving when these requirements are not met. Leaving the mapping page with changes can also trigger an unsaved-changes warning.

What you will see

An initial save creates the data set and schedules processing. Saving an update keeps the existing data set, applies the new mapping, and starts reprocessing automatically.
