LockStep insight
For faster brand consistency, add these first to Your Image Library: Logo, Design Styles, and a few Mission-in-Action photos.
Where do images come from?
Avid can build your organization’s image set from multiple sources. This helps you start with relevant assets, even before manual uploads.
- Website: Avid can pull images from your org’s public website during initial setup.
- Facebook page posts: If provided/connected, Avid can also pull images from your org’s Facebook posts.
- Manual uploads: Your team can upload brand references and photos into Your Image Library.
Cadence and expectations
- Image pulling is not continuous scraping.
- It is typically an initial pull plus periodic refreshes.
- Manual uploads remain the best way to add specific, must-use assets.
Why do I see images I didn’t upload?
You may see images that came from your website or Facebook page pull. These images can appear in Avid depending on how they were classified and where they are used.
- Your Image Library stores labeled reference images (and is shared across your organization).
- Playbooks image pickers may also show other images available to your org or play, depending on the workflow.
Image Generation Preference
This setting controls which AI options appear in Playbooks.
| Preference (UI label) | What it enables | What users see in Playbooks | Try this first |
|---|---|---|---|
| No image generation | Disables AI generation and refinement. | No AI options. Users can upload or select existing images only. | Use when your org does not want AI image tools available. |
| Style & text edits only | Allows AI-assisted refinement of existing images, without changing the subject/content of the photo. | Refine appears on images. Generate does not appear. | Use when you want brand-consistent layout and text overlays without risking subject changes. |
| AI images are allowed | Enables prompt-based generation and refinement. | Generate appears when a prompt is provided, plus Refine for edits. | Use when you need net-new creative and do not have suitable photos. |
Where to change settings
Organization policy (when enabled)
- Go to Settings → Content → Image Generation. You see the Image Generation page.

Add an Image (Playbooks)

Generate a new image (only when AI images are allowed)
- In the Add an Image modal, find Describe the image you want to generate:. You see a prompt field.
- Enter a prompt, then click Generate. Avid generates image options.
- Select an option and click Add Image. The image appears in your asset/touchpoint.
Upload an image (all policies)
- In the Add an Image modal, find Upload an image:. You see the upload area.
- Upload your image and click Add Image. The image appears in your asset/touchpoint.
Your Image Library
Your Image Library is a shared library for your organization. It stores labeled reference images (like logos and design styles) used to improve brand consistency.
Upload an image to Your Image Library
- Go to Settings → Content → Image Generation. You see Your Image Library.
- Click Upload Image. The Upload Image modal opens.
- Under Image *, drag and drop a file or click to upload. You see the selected file ready to upload.
- Select a Classification *. The classification is applied to the image.
File requirements
Use high-quality images under 20MB for faster uploads and better outputs.
Edit image details in Your Image Library
- In Your Image Library, click an image thumbnail. The Edit Image modal opens.
- Update Name *, Description, Classification *, and Keywords (comma-separated).
- Click Update. Your changes save and apply to future AI generation and edits.
Find images in Your Image Library
- Use Search by name… to find an image by its saved name.
- Click Filters to filter by classification (for example Logo or Design Styles).
- Select All to clear a classification filter.
Classification options (what to use when)
- Logo: brand mark variations used in overlays and compositions.
- Design Styles: examples of your preferred look and feel (color, typography, layout).
- Mission-in-Action: real photos of your work in the community.
- Location: buildings, offices, service areas, campuses.
- Products: product shots or program deliverables.
- Other: anything that does not fit the above.
Refine an image
Refine uses the current image as the reference and applies your instructions. You can use Refine to adjust layout, overlays, and style.
What to expect from Refine
- Style & text edits only: Refine should not change the subject or core content of the image.
- AI images are allowed: Refine may change more, depending on your instructions.
- Some instructions can be blocked by content policy. You may see “no image data returned.”
- Hover over an image and click Refine. The refine experience opens.
- In Describe the changes you’d like:, enter your instructions.
- Optional: select Update related images to regenerate all template-created variants for this asset. You cannot pick ratios manually. Templates decide them.
- Click Refine. Avid generates updated options based on your instructions.
Refine prompt examples
- Layout:
Zoom out slightly and add more padding around the subject. - Brand:
Match our brand colors and use a clean, modern design style. - CTA overlay:
Add a clear CTA button that says “Donate today”.
Common reasons Refine is blocked or returns empty output
- Requests involving minors.
- Requests involving public figures.
- Requests involving sensitive or explicit content.
- Prompts containing personal data or identifying details.
Remove or delete an image
- To remove from an asset: click Remove on the image.
- To delete from the refine experience: click Delete Image (where supported).
How styles and templates work
Playbooks can apply internal image “styles” to certain asset types. These styles are template-driven and are not configured by end users.
- Avid builds prompts behind the scenes using your brand colors and reference images.
- Avid uses Playbook Base Images (from Strategy Brief) and images in Your Image Library as references.
- Avid changes behavior based on Image Generation Preference:
- If AI is disabled, styles that require AI do not produce prompts.
- If Style & text edits only is selected, prompts include “no content changes” instructions.

End users still interact with the same controls: upload, prompt-based generation (when allowed), and refine.
Constraints, safety, and quality checks
- Aspect ratios: You cannot pick ratios manually. Templates decide ratios using pre-determined image ratios. If a template creates multiple ratio variants, Update related images regenerates the whole set.
- Default ratio:
16:9when nothing is configured. - Resolution: requested at “2K”.
- Text QA retries: When an image includes text overlays, Avid checks for common issues (for example misspellings and overlay problems) and retries up to 3 times.
- Policy enforcement: With Style & text edits only, the system reinforces prompts to avoid changing underlying image content.
- Content restrictions: If the model returns no image data, the UI indicates it may be due to content policy restrictions and suggests trying a different prompt.
Google Doc sync behavior
Deleting in the Google Doc can remove the image in Avid
If you remove an image from the generated Google Doc, Avid may remove the corresponding image from the related asset. Use this intentionally when you want the asset image removed.
Troubleshooting
Quick checks
- Refresh the page and try again.
- Try a simpler prompt with fewer details.
- Confirm you are editing a Playbook asset that has an image field.
“Generate” option is missing
- If you cannot see Settings → Content → Image Generation, contact Support to enable the feature for your org.
- If you can see settings, check Image Generation Preference. It must be AI images are allowed.
- If it is already set correctly, confirm the Statsig gate
ai_imagesis enabled for your org.
“Refine” option is missing
- The preference cannot be No image generation.
- Set the preference to Style & text edits only or AI images are allowed.
Wrong crop or dimensions
- This is driven by the template’s configured ratios.
- If the template creates multiple variants, use Update related images so the whole set regenerates coherently.
Blocked or empty output (“no image data returned”)
- Simplify your prompt.
- Remove sensitive content and explicit personal data.
- Avoid requests involving minors or public figures.
- Try a more general description.
What to collect before contacting Support
- Playbook name and asset/touchpoint name.
- Approximate time of the attempt (with timezone).
- Whether you used Generate or Refine.
- The prompt you used (and refine instructions, if applicable).
- Any toast/error message text you saw.
