The new Billing section puts everything in one place—billing contacts, payment methods, upcoming charges, and invoices. Admins can assign View or Edit Billing access. From here, you can update billing details, add or change payment methods, see upcoming charges, and download invoices. You can also add usage-based features (like Pathways); charges apply automatically. Invoices are emailed on their invoice date. Payments are processed by Stripe and are PCI-compliant.
Who can access Billing
- Admins can grant “View billing” or “Edit billing” to specific users.
- “Edit billing” allows users to add payment methods and add billable features (e.g., Pathways), which may trigger charges on the next invoice.

- Go to Settings > Billing in your account.

- Update billing contact information
- View upcoming charges, who will be billed, and how they will be paid
- Add or update payment methods (when enabled)
- Download past invoices (PDF)
- For authorized users: add billable features (currently Pathways; more to come)
Adding or updating payment methods
- If your account is set to pay in-app (Stripe), you’ll see Add/Update Payment Method in Billing.
- If your account pays via push pay ACH, Bill.com, or check, you won’t see payment method fields; invoices are emailed and paid externally.
Payment methods supported
- Stripe (ACH and credit/debit card) — Preferred and available in-app
- Push pay ACH, Bill.com, or checks — Supported for higher contract values and handled via manual processes
- By default, alternative ACH (e.g., push pay) is only enabled for contracts above $1,500/month

How upcoming charges work
- Each account shows a list of upcoming invoice line items, who will be billed, and the payment method (if applicable).
- Invoices are sent via email on the invoice date to the billing contact(s). If using Stripe in-app, charges process automatically based on your payment method.
Updating billing contacts and invoice delivery
- In Settings > Billing, update the billing contact name and email(s).
- On each invoice date, the system emails the invoice to your billing contact. You can also download PDFs from the Billing page.
Viewing and downloading invoices
- Go to Settings > Billing > Invoices.
- Select an invoice to view details or download the PDF.
Permissions and safeguards
- “View billing” lets users see billing details and invoices.
- “Edit billing” lets users add payment methods and add billable features (which may generate charges on the next invoice).
- When adding a feature like Pathways, the app clearly states the charge amount and who will be billed before you confirm.
Taxes
- Taxes are calculated automatically where required.
- Tax treatment depends on state-specific rules and sales thresholds; the system updates taxation automatically as thresholds are reached.
- You may see taxes appear on invoices as your organization’s tax status and state thresholds apply.
Frequently asked questions
Can I pay an upcoming invoice early?
Not at this time. Because some items (like Pathways) are usage-based, we must finalize usage before billing.
Is this PCI compliant?
Card data is never stored in our app. Payments are processed by Stripe; even Avid staff cannot view full card details. Separate PCI certification is not required on your side to use in-app billing.
Do I need to do anything initially?
Recommended:
- Review and update your billing contact(s)
- Confirm who has “View billing” vs. “Edit billing” access
- If applicable, add a Stripe ACH or card payment method to streamline billing
What features can I add self-serve?
Pathways is available at launch. Additional features (e.g., Direct Mail Tool) will be added to self-serve over time.
