This article is for organization admins and billing owners. It explains who receives Avid invoice emails, how billing permissions control what team members can see and do, and where invoices live in the app.

Applies to: Organization admins and users with Billing Edit permission. The Billing tab is available on Insights plans and during trial periods.
What it is
Billing in Avid runs on two separate systems:
- Billing permissions control what a team member can see and do on the Billing tab in Settings.
- Invoice email delivery determines who receives an email each time a new invoice is created.
The two are independent. A team member can have full billing access and still not receive invoice emails if their personal notification toggle is off.
Why it matters
Access does not equal email delivery. A team member must turn on the Billing notification toggle in their own profile to receive invoice emails. Billing permission alone is not enough.
When you understand both systems, you can make sure the right people can view billing information and that no invoice goes unnoticed.
How it works
Three layers control billing
Three settings work together to set what each team member can do with billing, and whether they receive invoice emails.
Layer 1 — Access level
Every team member has one access level, set by an admin in Settings » Team. The options are Full Access, View Only, Notifications Only (No Access), and Custom. The access level sets the baseline for all feature-area permissions.
Layer 2 — Billing feature-area permission
Within their access level, a team member can have one of two billing permission levels:

| Billing View | See the Billing tab and view invoices. Also enables the personal Billing notification toggle in that user's profile. |
| Billing Edit | Everything in View, plus edit the billing contact, update the payment method, and approve additional charges such as new Pathways. |
Users with Full Access automatically have both Billing View and Billing Edit. Billing has no Export option.
Layer 3 — Personal Billing notification toggle
Each team member controls their own invoice emails in Settings » Profile » Email Notification. The Billing toggle decides whether that person receives invoice emails.
- The toggle appears only if the user has Billing View access.
- Changes save automatically. The user briefly sees “Saving…” then “Saved.”
- Users without billing access see “No notification options available based on your permissions.”
Who receives invoice emails
When Avid creates a new invoice, the email comes from
accounting@avidai.com and goes to two groups:
- Team members who have the Billing notification toggle turned on in their profile.
- The organization's Billing Contact email, added as a recipient if it is not already covered by the first group.
The Billing Contact always receives invoice emails, even when that address belongs to someone who is not a team member or does not have the toggle on.
The Billing Contact
The Billing Contact is a named contact and email address stored for your organization, shown in a Billing Contact section on the Billing tab. As noted above, it always receives invoice emails. Where invoices live in the app
Invoices live on the Billing tab under Settings, which appears only for users with Billing View access. There you can review upcoming payments and past invoices and download a PDF of any invoice.
